- Scheduling a Phone Interview
If a recruiter asks for a particular time that you’re available, give them multiple options to choose from. Use this template as an idea:
Hi [Recruiter Name],
Thanks so much for reaching out. I’m available to speak at [insert dates and times you’re free for a phone interview]. Please let me know if you need anything else in the meantime.
Looking forward to discussing the role with you!
[Name]
2. Can You Resend Your Resume?
Don’t freak out — this usually only means that they want another place (via their email) to find your resume because let’s face it, technology doesn’t always cooperate. Here’s an example of a straightforward email response:
Hi [Recruiter Name],
Hope this finds you well. Attached is a copy of my resume. Please let me know if I can resend any other materials.

3. Do You Have Time to Chat Today?
This email definitely sends mixed messages. It could mean you’re on the verge of losing your dream job, or it could mean it’s time to plan your celebrations. With this email, it’s not so much how you word your response — either way, you’re going to have a much longer conversation once the recruiter tells you what’s on their mind.
Hi [Recruiter Name],
Thanks for following up with me! I’m available [insert times you can speak that day]. Please let me know if any of those times work for you, and if not, I’d be happy to find a time that is convenient for both of us.
