Organization is the key to efficiency and increased productivity. Today’s job force requires employees to be in the know and on demand at all times. Constantly staying on the radar can become overwhelming and in turn create job burnout. To stay focused in the moment and on your tasks at hand, organize these three aspects of your life:
Time
Managing your time is essential in improving your productivity at work and in your personal life. According to Gloria Mark, an information scientist, it takes an average of 26 minutes to recover from trivial interruptions. Planning out time in your busy schedule can help avoid this.
- Start the day with ‘me time’ – Set out a block of time to gather your thoughts and pile together any important information needed for the day. Knock out the quick and easy jobs in the beginning of your day and schedule bigger tasks for later.
- Schedule regular break times – Running around the office from meeting to meeting may seem productive, but you’re not getting as much done as you may think. When you have too much on your plate at once, you become more tired less focused. Create a regular ‘break’ schedule for your body and mind to keep yourself organized.
Space
Your work environment greatly contributes to your emotions and feelings. If a work-space, whether physical or virtual, is clean and more open, it will lead to increased work productivity.
- Consolidate information – You normally have numerous apps and tabs open throughout the day. Try to consolidate the places you go for information and set up sites to show notifications and information in one place.
- Work ‘offsite’ when need be – Some companies are finding that providing separate rooms for employees to work in or allowing them to work from home has many advantages. Providing yourself with a different space to work in allows for a clearer mind.
Mindset
Organizing your mind is just as important as organizing your space and time. Put yourself in a position where you can focus on the tasks at hand and stay in the moment.
- Create smaller problems from big ones – The biggest jobs hold the most weight in our mind. Try breaking down the big tasks into smaller ones. Although it is still the same job, having smaller problems and creating small solutions helps reduce anxiety and stress.
- Use a checklist – When you are overloaded with work, creating a checklist helps keep you under your time constraint and on track.
